Interoffice memo

Abartina Sindaha’s memo is written with an emotional tone towards the employees who had not cleaned their areas of work effectively. A memo is an official document and should be written with official language. This memo lacks this major characteristic of an official memo. This emotional tone portraying a manager who is very angry with employees sounds sarcastic. It has no form and courtesy of business language. Any employee who will read the memo will be irritated.

The manner in which the message is displayed does not seem to bring out the effect of correcting the mistake. It will do more harm than good; it will bring tension between the manager and the employees. A memo is a legal document and can be used for legal purposes. It cannot arguer well with anyone who would read through this memo to see how the manager wrote to her employees. The memo has not been proofread; neither has it been fact-checked. It is probable that the manager is writing out of misinformation and biases.

Attitude towards other people especially one’s junior is important in any organization. This memo portrays the negative attitude the manager has towards her employees. Employees are human beings with rights which ought to be respected. The manager in this memo doesn’t seem to respect the privacy of the employees. I other words, she is rude to them. This is a barrier to effective delivery of her message. There is a high probability that this manager is writing the memo without facts, as they are, on the ground. This is evident due to her emotional tone. Perceptions are a barrier to effective passage of the message to employees. Her exaggerations like “The lunch room is a disaster” are likely to frustrate the recipients distorting the meaning of the message.

SUBJECT: ADHERENCE TO HYGIENE STANDARDS:

It has been noted that the standards of hygiene have gone down in the areas of work. This has been brought about by failure by most of us to clean our areas of work on daily basis. This is an issue of concern to the office.

It is important to note that our company is straining with finances and, therefore, we are not in a position to hire extra staff that can do this work for us. We advise that everyone tries and makes sure that their area of work is clean.

In the cleaning, let us take note some of the key areas that have been ignored before. These areas include the lunch room and the copy machine area. Some of the tasks that have been ignored before are important in ensuring hygiene: these tasks include emptying of dust bins, organizing paper and toner supplies and as well, wiping the refrigerator, counter sinks and the copy machine.

Let us remember to straighten the office supply shelves. I don’t intend to design any cleaning schedule since we are responsible and able to do it.
